Submission Guidelines

Project Completion Requirements

Projects should be complete or near completion at the time of submission.

  • Completed projects are preferred; however, projects still in progress may be considered if sufficient progress has been made.
  • For EBP projects, the evidence appraisal and synthesis phase must be finished.
  • For QI and research projects, data collection must be complete before submission.
If the project is not fully complete, include a clear summary of the remaining steps and anticipated timeline in your abstract.

Primary Point of Contact

Each submission must identify one individual as the primary contact person. This person will:

  • Serve as the liaison between the authors and the conference team
  • Confirm that all submission requirements are met
  • Submit the abstract on behalf of the team
  • Communicate acceptance or rejection decisions to all authors
  • All contributors who meet authorship criteria must be listed at the time of submission. No new authors may be added after the deadline.
  • Authorship should reflect substantial intellectual contribution to the project. According to the International Committee of Medical Journal Editors (ICMJE, 2023), authorship requires all of the following:
    1. Significant contribution to the project’s conception, design, data collection, analysis, or interpretation;
    2. Active involvement in drafting or revising the abstract for intellectual quality;
    3. Approval of the final version before submission
    4. Accountability for the integrity and accuracy of the work.
*Individuals who contributed to the project but do not meet all four criteria should be acknowledged rather than listed as authors. For additional details, refer to the ICMJE authorship recommendations.

Author Order

  • The author order must be finalized before submission.
  • Changes to the sequence cannot be made after the deadline.
  • List authors according to their level of contribution, the primary contributor first and the most senior member (if applicable) last.

Conference Categories

The EBP Virtual Conference offers a variety of categories, each focusing on a unique aspect of evidence-based practice, including:

  • Evidence-Based Practice (EBP) Innovation and Application
  • Education, Training, and Capacity Building
  • Academic Excellence and Faculty Innovations in EBP
  • Leadership and Organizational Change
  • Technology, Data, and Informatics in EBP
  • Sustainability, Outcomes, and Impact

If you are unsure which track best fits your project, select “Unsure” on your submission form, and the conference committee will assign it to the most appropriate track.

Presentation Formats

Authors may indicate their preference for a poster or a podium presentation; however, the assignment is at the discretion of the reviewers.

  • Poster Presentation:
Share your project through a digital poster displayed in the Virtual Poster Gallery. You may also record a short audio summary to accompany your poster (optional but encouraged).
  • Podium Presentation:
Deliver a live virtual presentation followed by a Q&A session. Presentations will also be recorded and added to the on-demand conference library.

If you select “No Preference,” the review committee will determine the most suitable format for your project.

Before submitting your abstract, you will be prompted to create an account or log in to our LMS.
